How It Works
Employees check in/out using secure QR codes. Managers receive real-time updates and can approve requests
instantly. All data is stored with device integrity checks to prevent fraud. Reports are generated and exported to
Excel for easy analysis.
How to Use Attendance SIM
Getting started is simple. You can either create a new company or join an existing one.
Download the app: Get Attendance SIM from
Google Play.
Sign in: Use your Google account to log in securely.
If your company email is linked to Google, you can use it too.
Choose how to start:
Create a Company (Administrator):
The first person to set up your company in Attendance SIM automatically becomes the Administrator.
This role is usually taken by the owner, manager, or HR, but it can be transferred later if needed.
As Administrator, you have full access to manage employees, approvals, assignments, and attendance.
You also generate and share the Company ID, which employees will use to join the correct company workspace.
When creating a company, you will be asked to provide:
Name: Your personal name for identification.
Company Name: The official name of your company or organization.
Company ID: A unique identifier (e.g., comp12345).
Employees will use this ID to join the company. Keep it safe and share it only with your team.
The Company ID can be found anytime in the Profile and Organization
menu inside Attendance SIM.
Join a Company (User):
If you are an employee, you should join the company created by your Administrator.
Your role will be assigned and managed by the Administrator or HR.
When joining a company, you will be asked to provide:
Name: Enter your personal name clearly so the company can recognize your request.
Company ID: Ask your Administrator or HR for the correct ID (e.g.,
COMP12345).
This ensures your request is linked to the right company workspace.
Note: Optional. Add a short note such as your job title, department, or nickname.
This helps the Administrator or HR identify you more easily. You can leave it empty if not
needed.
Attendance SIM adapts to your role, ensuring both Administrators and Users have the
tools they need.
How to Set Access Rights & Change Position
This section applies to Administrators and Supervisors with HR-level access.
Editing Staff Name:
You can change an employee’s name by pressing the Edit button. The updated name will be visible to all
employees.
Note: Only Administrators or HR-level Supervisors can make this change.
Changing Position:
Positions can be updated at any time by Administrators or HR-level Supervisors. When someone first requests to
join, they appear as an Applicant. From there, or later on, you can assign or update their position to
one of the following:
Supervisor: Supervisors can be assigned with or without HR-level access.
If HR-level access is granted, they have full management rights including employee identity, roles,
lifecycle control, and the ability to change access rights for other members.
Without HR-level access, their permissions are limited based on the specific access rights assigned to them
(for example: posting notices, creating tasks, or viewing attendance).
Staff: Standard employee role with attendance and task features.
Attendance Device: Special role for devices used to display QR codes and handle
check-ins.
Suspended: Temporarily restricts access without removing the employee record.
Departed: Available only if the user is already a member. Marks the employee as no longer
active in the company.
Rejected: Available only from Applicant status. Denies the join request and prevents
access.
Access Rights Based on Position:
When a position is assigned, the access rights menu will automatically appear based on that role.
Supervisor:
Supervisors can be assigned with or without HR-level access.
Post Notice
HR-level access to manage employee identity, roles, and employment lifecycle
Create New Task/Assignment (default ON)
Display today's attendance status for all crew members
View attendance summary and access the full Attendance Report
Display QR for Attendance (includes self check-in & check-out access) (default ON)
Send Submission (default ON)
Staff:
Staff members have limited access rights, with options depending on assignment:
Display QR for Attendance (includes self check-in & check-out access)
Send Submission (Approval Requests) (default ON)
Attendance Device:
This role is reserved for devices used to display QR codes for attendance.
Display QR for Attendance (default ON)
Note: Attendance Device role only shows the QR display menu. No other menus will be available.
How to Create Announcements
Announcements can be created by any member who has authorization rights, using the + button
at the top-right menu.
All employees will be able to see announcements once they have been posted.
Only the member who created an announcement can edit or delete it.
How to Create Assignments
Assignments can be created by Administrators or Supervisors who have the appropriate access rights.
To create a new assignment, click the + button in the top-right menu.
Enter the assignment details, including description, due date, and any specific instructions for staff.
Once posted, all assigned employees will be able to view the task in their dashboard.
The creator of the assignment can monitor progress and track completion status through the dashboard.
Note: Assignment task are visible only to the creator and the employees assigned to that task.
Only the creator can edit or delete an assignment after it has been posted.
Important: If an assigned employee has already responded, the assignment cannot be edited or deleted.
After the due date has passed, employees who have not responded will no longer be able to submit a response.
How to Create Approval Requests
Employees can create an Approval Request to ask for permission or approval from a superior.
The employee selects the recipient from a list of available Supervisors or Administrators.
Each request must include a title, request content, expected response date, and the chosen recipient.
Once submitted, the request will only be visible to the employee who created it and the selected superior.
The superior can respond directly to the request by either approving or rejecting it.
How to Check-In / Check-Out
Check-in and check-out can be performed by scanning a QR code generated by an authorized person or displayed
on a designated device.
Self-attendance is only available on employee devices that have the authority to generate QR codes.
A QR code can only be scanned when the QR device and the scanner are within range. This prevents fraudulent
attendance practices.
If the same device is used to record attendance for multiple employees within the company, this activity will
be visible in the logs under My Attendance and Today's Attendance, and will also appear in the
attendance report.
Employees must wait at least one hour before performing their next attendance action to prevent repeated
recordings.
How to Create QR Codes
QR codes can be generated and displayed only by members who have the appropriate authorization rights.
Authorized devices can show QR codes for attendance purposes, which employees can scan to check in or out.
QR codes are valid only when scanned within range of the designated device, ensuring secure and accurate
attendance records.
My Attendance
This section displays an employee’s personal attendance records, showing each check-in and check-out activity.
The data is stored locally as cache within the app.
Important: If the app is uninstalled, all cached attendance data will be erased.
Today's Attendances
This section displays all employee check-in and check-out records for the current day.
Access to this information is restricted and can only be viewed by members with the appropriate authorization
rights.
Attendance logs shown here provide a company-wide overview for the day, complementing the individual records
found in My Attendance.
The data is stored locally as cache within the app.
Important: Authorized users should ensure the attendance flow is completed (e.g., at the start of each
month) before uninstalling the app, as uninstalling will erase cached data.
Attendance Report
This section provides a detailed monthly overview of employee attendance records.
Reports focus on attendance trends and summaries across the company for each month.
Authorized users can export attendance reports to Excel for further analysis or record-keeping.
The data is stored locally as cache within the app.
Important: Ensure reports are finalized and
exported before uninstalling the app, as cached data will be erased.
Data Storage & Cache Behavior
Announcements, Approval Requests, Assignments, and Attendance records are stored locally as cache within the
app.
Important: If the app is uninstalled, all cached data will be permanently erased.
Authorized users should ensure that workflows (e.g., attendance reporting, assignment tracking, or approval
requests) are completed before uninstalling the app.
For example, it is recommended to finish attendance flows at the start of each month before removing or
reinstalling the app.
